Stewarding Our Community Funds

Becoming a property owner in Knollwood Community is the first step to participating in your neighborhood homeowners association (HOA). As a property owner and HOA member, your annual dues contribute to the wellbeing of our community on many levels.How Dues Are StewardedKnollwood's minimum annual operating budget is, currently, approximately $12,000 to provide for our community's maintenance, safety, and property value appreciation.Our specific community budget covers:

Community street lighting (approx. $650/month) to have a well-lit neighborhood. Studies have shown that well-lit neighborhoods can reduce crime risk by 21%, nighttime traffic accidents by 30%, and enhance the residential feeling of safety.Utilities access to water (approx. $52/month) and care for our green spaces (approx. $500/year) in order to preserve our landscaping. Having well kept green spaces has been shown to increase nearby property values upwards of 20%.Security camera internet (approx. $120/month), which aids us in identifying problems that may arise. Studies show that monitored communities can lower their crime risk up to 50% compared to unmonitored communities.Basic administrative needs (approx. $500/year), which ensures our HOA can provide access to services that enhance our community's wellbeing, communication, and collective influence. This includes our PO Box ($250/year), website maintenance, and communication materials.Our goal as your HOA Executive Council is to ensure you remain informed about how community funds are stewarded and have an easy experience contributing to our community's wellbeing. Next Steps: Homeowner review, resolution of questions or corrections, and collection of outstanding duesWhy We Conducted the ReconciliationIn 2026, the Knollwood HOA Executive Council undertook a comprehensive review of HOA dues records for the 2020–2026 period.The purpose of this reconciliation was to establish a more accurate and consistent accounting of HOA dues paid and outstanding for each household and to improve the way the HOA maintains and communicates its financial records going forward.This work was part of the Executive Council's broader effort to strengthen the HOA's administrative and financial processes and provide homeowners with clearer information about their HOA accounts.What Does “Reconciliation” Mean?In simple terms, reconciliation means comparing financial records from multiple sources to determine what was paid, what remains outstanding, and whether any credits are due.For the Knollwood HOA, this involved reviewing available records from several sources and comparing them to establish the most accurate payment history possible for each household.What We ReviewedThe reconciliation included available HOA financial and payment records from 2020 through 2026, including:• Bank deposit and account records
• HOA receipt books and payment records
• Supporting documentation for individual payments
• HOA paper records and historical financial records
• Property ownership and deed information, where needed to properly attribute payments to the appropriate household
• Available records from third-party collection activityRecords were reviewed and compared across sources to determine the payment history associated with each household.How the Reconciliation Was ConductedThe reconciliation was completed through a multi-step review process designed to compare available payment records and identify amounts paid, outstanding balances, and credits.Where multiple records existed for the same payment or household, records were compared to help avoid duplicate entries and ensure payments were attributed as accurately as possible.The reconciliation focused on records that could be reasonably verified through available documentation. Where historical information could not be independently verified, the Executive Council did not assume that a payment had been made without supporting evidence.What the Reconciliation ProvidesThe completed reconciliation provides the HOA with a more consistent accounting of dues activity for each household for the 2020–2026 period.Each household's reconciliation identifies its annual dues status and, where applicable, an outstanding balance or credit based on the records available to the HOA.Homeowners may receive an individual reconciliation statement if there is an outstanding balance or credit owed. The HOA Executive Council encourages homeowners to review their statements and the itemized payment records provided with them as soon as possible.What This Reconciliation Does Not DoThe purpose of the reconciliation is to establish the payment history and outstanding dues reflected in the HOA's available records for the reconciliation period, 2020 to 2026.The reconciliation does not include dues owed prior to 2020, unless documentation supports payments for years before 2020 made during the reconciliation period.What Happens NextThe HOA Executive Council is using the results of the reconciliation to:• Communicate each household's reconciliation status
• Provide an opportunity for homeowners to review their payment records and submit questions or supporting documentation
• Address verified corrections or credits
• Collect outstanding dues in accordance with the HOA's governing documents
• Establish important HOA dues-related improvements beginning next year
